Arthros Limited (“Arthros”, “we”, “us”, “our”) is a charity registered in England and Wales (registered charity number 1173724). We support people living with arthritis in the Reading area, mainly by providing grants for practical items, equipment, activities and services that help people live more comfortably and independently.
We are the “data controller” for the personal information described in this policy. This means we are responsible for how your information is collected and used.

This policy explains how we handle personal information when you:
Donations made through JustGiving are handled on the JustGiving website, which has its own privacy policy. We receive some information about donations from JustGiving (see “Donations” below).
When you contact us Your name, email address, phone number and the content of your message.
When you apply for a grant (forms B1 and B2) To assess an application we collect information such as: your full name, date of birth, address and postcode, how long you have lived there, email, telephone and mobile numbers, employment status, and details of the items, activities or services you are requesting.
We also collect information about your health — for example the type of arthritis you have, when you were diagnosed, how it affects your daily life, and the aids or support you need. This is “special category” data and we give it extra protection (see below).
If you have communication needs (for example a language, hearing or sight requirement), we collect these so we can support you appropriately. This may also be special category data.
If someone applies on your behalf (for example a family member, friend, support worker, social prescriber or occupational therapist), we collect their name, their relationship to you, and their contact details. Both of you sign the form.
For organisation applications (form B2), we collect details about the organisation and a named contact — organisation name, purpose, registered charity number (if any), address, contact details, and the number of people it supports.
Equality monitoring Our forms include optional equality and diversity questions (for example age group, and how you heard about us). These are voluntary, you can choose “prefer not to say”, and we use the answers only in aggregate to check that our support reaches people fairly across the community.
When you sign up to our newsletter Your email address.
When you visit our website We use our own privacy-friendly, cookieless website analytics that do not identify you and do not track you across other websites. This tells us, in aggregate, things like which pages are popular and which website or campaign link (for example a UTM link) brought visitors to us. It does not build a profile of you as an individual.
Under data protection law we must have a “lawful basis” for using your information.
Where we rely on consent, you can withdraw it at any time. This will not affect anything we did before you withdrew it.
We do not sell your information, and we do not share it for marketing.

Some providers may process data outside the UK. Where that happens, we make sure appropriate safeguards are in place as required by UK data protection law.
If you donate through JustGiving, JustGiving collects your information under its own privacy policy. We may receive details such as your name, the amount, and — if you choose to give it — a message and Gift Aid declaration, so we can thank you and claim Gift Aid.
We keep information only as long as we need it.

We take appropriate steps to keep your information secure and to limit access to those who need it to help you. Paper forms are handled and stored carefully, and we keep our website and systems up to date.
